Brightwater Oxford Gardens is seeking an experienced Administration Assistant to join our dedicated and caring team.

Located near Lake Joondalup- Brightwater Oxford Gardens provides high quality care for people with a range of different needs, including those with advanced dementia and high care needs.

This role is being offered on a permanent full-time basis, working 76 hours per fortnight Monday to Friday from 8am to 4pm.

The successful candidate for this role will professionally greet visitors to the site and be the first point of contact for phone calls. As a valued member of the Oxford Gardens team, you will provide administrative and general support to the Service Manager and the wider Brightwater team.

Responsibilities include:

  • Provide initial contact and information for residents, visitors and staff both in person and via phone, redirecting enquiries as necessary
  • Ensure visitors’ book completed as appropriate and the secure management and return of temporary visitor and contractor swipe cards
  • Process maintenance requests and site orders
  • Maintain enquiry packs on site for handouts to potential clients
  • Provide clerical support for the site, which includes: typing correspondence, minutes and memos, dealing with incoming and outgoing mail/couriers, photocopying, faxing and maintenance of filing systems and record management
  • Use effective problem solving skills to complete required tasks and resolve conflict at the earliest opportunity

To be successful in this role you will have:

  • Previous administration experience and ability to accurately input data with high attention to detail
  • Aged care sector experience – highly regarded
  • Excellent computer skills with sound knowledge of Microsoft applications including Outlook, Word, Excel
  • Excellent communication (both written & verbal) and interpersonal skills that build and develop teamwork and establish successful working relationships with stakeholders
  • Excellent customer service skills and clear understanding of individual privacy and confidentiality requirements
  • Demonstrated ability to organise and prioritise tasks, work effectively under pressure, problem solve, and meet deadlines
  • A current satisfactory National Police Certificate (obtained within the last 12 months)
  • A satisfactory NDIS Worker Screening Check
