About the role: 

The Administration Team Leader plays a key role in supporting a small, high performing team to deliver accurate, timely and customer focused administrative services for our stellar Brightwater at Home team! In this dynamic role, you will ensure the smooth operation of essential business processes, with a particular focus on billing, invoicing, and Support at Home (SAH) claiming activities.

Working collaboratively with team members and internal stakeholders, the Administration Team Leader will apply strong attention to detail, sound problem solving skills, and a proactive approach to managing competing priorities. The position contributes to maintaining compliance, improving workflow efficiency, and supporting the team to meet operational and financial requirements.

Some key responsibilities include:

  • Ensure timely resolution, accurate processing and monitoring of client entries and exits, funding queries and requests, demonstrating excellent customer service.
  • Ensure all Support at Home funding received is reconciled on an ongoing basis against claims submitted.
  • Ensure funding claims for Support at Home are submitted in a timely, accurate and complete manner.
  • Ensure client exits are processed and reconciled in line with government deadlines / work with finance to process any required to clients
  • Ensure timely processing of all client statements
  • Manage daily, weekly and fortnightly payroll requirements to ensure accurate payment for all BAH staff who are paid via rostered visits
  • Identify and contribute to continuous improvements activities regarding Brightwater at Home Admin procedures and processes. This includes collaborating with colleagues to facilitate quality improvement activities.
  • Liaise with staff and external agencies to ensure client service needs are met.
  • Complete work to meet required deadlines.
  • Ensure all practices are executed in a manner that adheres to relevant policies of Brightwater Care Group and appropriate professional Code of Ethics.
  • Training other staff as required in the process and procedures of the Administration team.
  • Communicate with clients, relatives, colleagues and others in a professional manner that shows respect for individuals.
  • Maintain current knowledge of computer programs relevant to the position and assist in implementation of new software.
  • Complete any other tasks as requested by the Service Lead or Operations Manager

To be successful in this role you will have:

  • Excellent computer skills with sound knowledge of Microsoft applications.
  • Exceptional communication (both written and verbal) in various environments with a wide range of people.
  • Demonstrated ability to organise and priorities tasks, work effectively under pressure, problem solve and meet deadlines.
  • Experience using client/business management systems (desirable).
  • Current ‘C’ Class Drivers Licence as defined by Department of Transport WA (DOT) (desirable)
  • Satisfactory National Police Certificate obtained within the last 12 months.
