Disability Scheduling Coordinator

About the role

Brightwater is seeking an experienced Disability Scheduling Coordinator to lead and optimise scheduling services within our Capacity Building Program. This role plays a critical part in ensuring therapy and support services are delivered efficiently, compliantly and with the client at the centre.

Reporting to the Workforce Scheduling Manager, you’ll coordinate and optimise service schedules while providing day‑to‑day leadership to a team of Schedulers. Working closely with Therapists, Support Coordinators, Funding and Payroll, you’ll help ensure service continuity, accurate billing and strong utilisation outcomes.

Key responsibilities

  • Lead and support the Disability Scheduling team
  • Coordinate and optimise therapy and support schedules
  • Oversee booking accuracy, reschedules, travel, leave and visit verification
  • Act as the escalation point for complex scheduling and client issues
  • Monitor utilisation, cancellations and vacant visits, proactively managing risks
  • Ensure compliance with NDIS and other funding requirements
  • Support onboarding, training and capability development of scheduling staff
  • Contribute to continuous improvement initiatives

About you

You’re organised, calm under pressure and experienced in coordinating rosters or schedules in a health, disability or community services setting. You enjoy working collaboratively, solving problems and supporting teams to deliver great outcomes.

What you’ll bring

  • Experience in workforce scheduling, rostering or coordination
  • Strong organisational and problem‑solving skills
  • Excellent communication and stakeholder engagement abilities
  • Experience using scheduling or workforce management systems
  • High attention to detail and commitment to compliance
  • C Class Driver’s Licence (desirable)
  • Satisfactory National Police Certificate (or willingness to obtain)
