Pool and Reporting Coordinator

About the Role

We are seeking a Pool and Reporting Coordinator to provide administrative and operational support to the Residential Aged Care (RAC) Staff Relief Pool. Working within a shared management structure, you will collaborate closely with Rostering Officers, Service Managers and operational leaders to support efficient staffing outcomes and continuity of care.

A key component of this role is workforce reporting and analysis. You will prepare, maintain and analyse workforce data and reports that inform operational planning and evidence-based decision-making across the business.

Key Responsibilities

In this role, you will:

  • Provide day-to-day administrative and coordination support for the RAC Staff Relief Pool
  • Work closely with Rostering Officers and Service Managers to ensure effective deployment of pool staff
  • Maintain accurate workforce data across rostering and payroll systems (availability, classifications, competencies and employment status)
  • Prepare regular and ad hoc workforce reports (e.g. pool utilisation, vacancy coverage, overtime, agency usage and leave trends)
  • Analyse workforce and rostering data to identify trends, risks and opportunities for improvement
  • Ensure accuracy, consistency and integrity of workforce data, investigating and resolving discrepancies
  • Support workforce planning by providing timely data insights to anticipate staffing needs
  • Assist with effective use of rostering and reporting systems, including basic troubleshooting and user support
  • Act as a key point of contact for staff relief pool and workforce reporting queries
  • Contribute to continuous improvement of relief pool processes, reporting templates and data practices

About You

To be successful in this role, you will bring:

  • Experience in an administrative, coordination or workforce support role, ideally within aged care, health, disability or a regulated service environment
  • Sound understanding of workforce rostering principles and staff relief pool coordination
  • Proven experience preparing, maintaining and analysing workforce or operational reports
  • Strong capability in workforce, rostering or HR systems, with advanced Excel and Microsoft Office skills
  • High attention to detail and a strong commitment to data accuracy and integrity
  • Well-developed communication skills and the ability to work collaboratively in a shared management environment
  • Strong organisational skills with the ability to manage competing priorities in a fast-paced operational setting
  • A solutions-focused mindset with the ability to identify issues and contribute to process improvements
  • Discretion and professionalism when handling sensitive workforce information
  • Alignment with Brightwater’s values and commitment to quality aged care and disability services
  • Current C Class Driver’s Licence
  • Current National Police Certificate (issued within the last 12 months)
